How to delegate your work and be more productive?

The journey from following to leading a group is difficult. After joining a new managerial position, the pressure is initially tolerable, and one does it out of excitement. Later, the pressure turns into a headache if the work is challenging. In one of his plays, William Shakespeare wrote, “It is simple to teach a group of twenty people, but it is tough to be one among twenty.” It implies while delegating work to the employees too!

Irrespective of your role in any organization, HR, entrepreneur, or a high authority, delegation is vital in accelerating productivity and positivity during strict and tight deadlines. The process followed to delegate the task is highly important but ignored unless forced on them. 

What is a task delegation?

It is a skill that demands improvisation with time. It is an art by which you shoulder and monitor tasks and responsibilities to those who work under you. 

A list of seven such delegation strategies is written below, and you may see the after-effects gradually if you follow them strictly. 

  1. Understand the importance of sharing the work– most of the newbies appointed by higher authorities insist on completing the whole piece on their own and refuse to rely on anyone for that. They feel either the other person is not efficient or are so vulnerable to their job role that they are unwilling to share.
    Here it would help if you understood as a higher authority, the significant responsibility starts by letting go of your work to those under you. It develops trust and a feeling of teamwork among colleagues. These small initiatives are a medium that will bring you closer to your team and together towards success. 
  2. Setting the priorities- You need to establish a priority list that may differ from others. This list varies regarding the industry in which you work your skills and, of course, the kind of work you handle regularly. Try to segregate your work into four pickets. You should do the one that demands high efficiency, and other work can be divided among others according to their capability. It saves time and allows you to focus on the more essential things.
  3. Understanding your teammate’s strength– Understanding the subtleties of your teammates is one of the essential things that you should be acquainted off! Try to assign responsibilities according to the ability of the individual. If a person can allocate this correctly, then he can work under the lightest pressure. 
    Consistency is essential. It means assigning the same kind of work to the same person so that their efficiency increases. 
  4. Inclusion of instructions is mandatory- What is easy for you can be tedious for others! Try to add every minute detail of the work without missing anything you wish your teammates to do. Every job comes with some guidelines; do not forget to write them while assigning the work. Set a milestone or a deadline so that the given work finishes on time. Instructions should be in a clear tone with proper communication. This proactive strategy will benefit you and your teammates. 
  5. Train when needed- Sometimes, your team fails to have the required skilled person. It doesn’t indicate they can’t learn them. Delegation of tasks demands training from time to time. Initially, it may take some time to delegate the job, but slowly, it will fall to the right place. Teaching an entity for once and slowly seeing them excelling is expected if you practice teaching regularly. It may be time taking initially, but later it will save time.
  6. Have faith, but keep a check- Believing your teammate is ideal for completing a task, but keeping an eye is essential to ensure that your work functions smoothly. Sending an email to check if they need any help builds trust in them.
  7. Sending immediate feedback works wonders- Feedback is essential, and if you give it a positive note along with the correction if any. If the assignment commences correctly, praise them on the best platform. If they could not succeed in meeting your expectations, then criticize them without spreading negativity.
    Calling your teammate to share their view about what they think about your delegation of tasks can help you in improving your part.
